Club policies
Cookies, payments, community conduct, and data handling.
Cookies and local storage
This site uses necessary browser storage and authentication cookies where required to keep you signed in and protect your session. There are no optional advertising or marketing trackers configured by the club. Hosting providers may process technical request and security information. Clearing browser storage can sign you out. New optional trackers must not be enabled without a separate choice and an updated notice.
Payments, cancellation and refunds
Each event must publish its actual fee, payment instructions and cancellation/refund conditions before collecting money. There is no universal refund deadline or guaranteed refund amount set by the club on this site. If an event has no published refund conditions, ask the organisers before paying. Payment screenshots are reviewed manually; do not include unrelated balances, card numbers, UPI PINs or other transactions. For cancellation or refund questions, contact the organisers with the event name and payment reference.
Community conduct
Treat everyone respectfully. Harassment, discrimination, plagiarism, intimidation and unsafe conduct are not acceptable. Respect campus and venue rules, credit collaborators, and keep participant details private. Organisers may restrict participation for safety or misconduct and should give an appropriate explanation and a channel to raise concerns.
Photos and publicity
Publishing a coordinator or alumni photo, biography, testimonial or achievement requires their permission. Event attendance is not blanket consent to promotional photography. Organisers should collect separate permission for identifiable publicity and offer a way to raise removal concerns. Application information and payment proofs must never be used as promotional material.
Dashboard data handling
Only the owner may grant coordinator access. Assign the minimum sections necessary, remove access when duties end, and review grants regularly. Keep exported member lists secure, do not share them with sponsors, and delete temporary copies when no longer needed. Record accurate decision reasons without sensitive or discriminatory commentary. Report suspected unauthorised access to the owner immediately.
Retention and incident handling
The owner must set a documented retention schedule and privacy contact, review records after their purpose ends, and handle verified access/correction/erasure requests. If an incident is suspected, restrict affected access, preserve relevant evidence and assess notification duties under applicable law. Automated retention enforcement and incident notifications are not yet provided by this website.
